Rent receipts: what landlords must include (and how long to keep them)

If a tenant pays in cash, the receipt you hand over is very often the only record that the payment happened at all. Treat it accordingly.

What belongs on a rent receipt

• The words Rent Receipt and a unique number
• Property address, including unit or flat number
• Tenant name(s) as they appear on the tenancy agreement
• Landlord or agent name and contact details
• The rental period covered — "1–31 March 2026", not just "March"
• Amount received and the currency
• Date the payment was received
• Payment method — cash, transfer, standing order — plus a reference
• Any balance still outstanding, or an explicit "paid in full"
• A signature, if you are handing over a paper copy

When you must issue one

Rules vary by country and state, but the pattern is consistent: cash payments almost always trigger a right to a receipt on request, and many jurisdictions require one automatically. Some require them for every payment method. Check your local tenancy legislation — and when in doubt, issue one anyway. It costs nothing and settles arguments.

Split payments and part payments

Receipt what actually arrived, not what was due. If a tenant pays half, the receipt shows the half received and the outstanding balance. Never issue a paid-in-full receipt against a promise.

How long to keep them

As a rule of thumb, keep rent records for at least as long as your tax authority can open an enquiry — commonly five to seven years — and keep them for the duration of the tenancy plus that period. Digital copies are fine; the important part is that they are complete and unedited.
